Outsourcing with Finsmart isn't a black box. Here's exactly how your dedicated accounting seat is deployed, managed, and scaled.

Step 04

Ongoing Delivery

Your seat works full-time in your tools, under your brand. Backed by a 3-tier support team and regular performance check-ins.

How Outsourcing Works

How Outsourcing Works: FAQs

Accounting outsourcing means engaging a remote, dedicated accounting professional, instead of hiring in-house, to handle your bookkeeping, month-end close, financial reporting, tax preparation, or AP/AR work. With Finsmart, this professional works exclusively for your firm or business, not on a pool of dozens of clients. They work in your tools, under your brand, following your processes, so you get the output of a full-time employee at a fraction of the cost.
Finsmart primarily serves CPA firms and accounting practices looking to scale their capacity without hiring locally, and small-to-mid-sized businesses that need a finance function but can't justify the cost of an in-house team. Geographically, we serve clients in the United States, United Kingdom, Europe, and UAE. If you process accounting work for clients or need accounting work done, Finsmart likely has a seat for your needs.
No. This is a fundamental distinction of the Finsmart Seat Model. Your seat professional works exclusively for your firm: 100% of their working time belongs to you. They do not serve a pool of clients or rotate between engagements, which is why they learn your workflows deeply and deliver consistent, predictable output.
In the rare event your assigned professional leaves, Finsmart's Engagement Manager and Senior Accounting Advisor immediately step in to ensure continuity. We maintain full documentation of your workflows, client history, and process SOPs, so transitions go smoothly. A replacement professional is matched and onboarded quickly, typically within days, with no disruption to your month-end cycle.
Finsmart professionals are pre-trained on all major accounting platforms, including QuickBooks Online, QuickBooks Desktop, Xero, Sage, NetSuite, FreshBooks, Zoho Books, Bill.com, Gusto, and more. We work in your existing software: no migration, no proprietary portal, no forced platform switch. Your professional uses the same tools your team uses today.
Not unless you want it to. Most Finsmart clients use dedicated seats to augment or extend their existing team, handling overflow, scaling capacity without adding headcount, or covering a specialist role (tax, controller-level review) they don't have in-house. Finsmart can also act as a complete outsourced finance function if that's what you need.

Pricing & Billing

Pricing & Billing FAQs

Finsmart publishes all pricing openly. Core seats: Bookkeeping Seat: $20/hr or $2,400/mo; Sr. Accounting Seat: $25/hr or $3,200/mo; Reviewer Seat: $30/hr or $3,600/mo. Specialized seats: USA Tax Seat: $3,200/mo (Associate), $4,500/mo (Senior), $6,000/mo (Manager); Cleanup Seat: $25/hr; Workflow Seat: $2,499–$5,000/mo. Every seat price includes the 3-tier support team at no extra charge.
None. Zero. There are no setup fees, no onboarding charges, no technology fees, and no administrative premiums. The monthly seat price you see on our pricing page is the exact amount you will pay from Day 1. Our entire 7-day onboarding process (professional matching, NDA signing, software access provisioning, kickoff call) is included.
Finsmart bills monthly in advance. At the start of each billing cycle you receive one clean invoice per seat: no timesheets to review, no variable charges, no hourly overages. The amount on your invoice matches the seat price. Payment is accepted via bank transfer or card on file. UK and European clients can request invoicing in GBP.
Yes. Finsmart operates on a month-to-month basis with no lock-in contracts. To cancel or pause a seat, provide 30 days' notice and the seat closes cleanly at the end of that cycle with no cancellation penalties, exit fees, or severance costs. If your workload spikes again, you can reinstate a seat, typically within the same 7-day onboarding window.
Yes. Finsmart's seat pricing is identical regardless of where you are located: US, UK, Europe, or UAE. There are no regional surcharges or currency premiums. All prices are listed in USD. UK and European clients may request invoicing in GBP. No additional charges apply for different time zones or communication patterns.
You can add as many seats as your firm needs, each at the published rate. Many Finsmart clients start with one Bookkeeping Seat and scale to multiple seats across different tiers as they grow. For firms looking to engage five or more seats simultaneously, custom volume pricing is available; schedule a call to discuss your specific requirements with our team.
A monthly seat gives you a dedicated full-time professional for a flat monthly fee, ideal for ongoing, predictable workloads. An hourly seat is available for flexible, project-based, or seasonal capacity needs, billed at $20/hr (Bookkeeping), $25/hr (Sr. Accounting), or $30/hr (Reviewer). Both options include the same 3-tier support team and quality standards. For most firms with regular monthly close cycles, the flat monthly seat is more economical and easier to budget.

Onboarding

Getting Started: Onboarding FAQs

Finsmart's 7-day onboarding guarantee is a real commitment, not a marketing phrase. Here's what it covers and what to expect on day one.

It means that within 7 business days of signing, your dedicated seat professional will be matched, background-checked, NDA-signed, trained on your software, provisioned with secure access, and producing actual work for your firm. It is not just an "introduction". Your professional is actively working within that window. If we do not deliver within 7 business days, we discuss remediation directly and take responsibility.
Very little. You'll need to: (1) provide access credentials to your accounting software and project management tools; (2) complete a 30-minute onboarding call with your Engagement Manager to outline workflows, client types, and priorities; (3) designate a point of contact on your team who will direct the seat professional day-to-day. Finsmart handles the rest: matching, training, NDA, and access provisioning.
Every Finsmart seat is backed by three layers of support included in the seat price. Dedicated Account Manager (your primary point of contact for day-to-day task coordination and communication), Engagement Manager (oversees onboarding, quality consistency, and ongoing performance), and Senior Accounting Advisor (a senior-level expert who handles escalations and complex accounting questions). None of these roles incur extra fees. Questions and escalations are covered.
Onboarding is designed to be low-burden for your team. Expect roughly 1–2 hours of your time across the first week: the initial kickoff call (30 minutes), access provisioning, and a brief workflow walkthrough. After that, your seat professional operates independently within your defined processes, and your Account Manager handles coordination. Most clients describe it as "easier than hiring a new employee."
Yes. And this is intentional. Finsmart professionals work in your email system, your project management platform, your communication channels (Slack, Microsoft Teams, Asana, ClickUp, Karbon, or another tool). There is no proprietary Finsmart portal you are forced to adopt. Your workflow stays where it already lives.
Finsmart professionals are based in India and primarily work in US business hours (EST / PST overlap), which is standard for US and UK CPA firm workflows. Specific time zone alignment is discussed during onboarding. For UK and European clients, working hours are adjusted to accommodate your business day. Your Account Manager provides a daily overlap window for real-time communication.

Security & Compliance

Security & Compliance FAQs

Client financial data is among the most sensitive information your firm handles. Here is exactly how Finsmart protects it.

Client data protection happens at multiple layers. First, every professional signs a full NDA and confidentiality agreement before any engagement begins. Second, access is provisioned through your own secure systems (your accounting software, your cloud storage, your email). Data never passes through Finsmart-owned infrastructure. Third, Finsmart enforces SOC-aligned protocols: encrypted communications, secure remote workstations, and annual security training for all professionals.
No. Your data stays within your own systems and software. Finsmart professionals access your accounting platform via role-based credentials you provision. The data remains in your environment (QuickBooks, Xero, NetSuite, etc.) at all times. Finsmart does not maintain independent copies of client financial records or store data on Finsmart-owned servers.
Completely. Since your professional is provisioned with access through your own systems, you control exactly what they can see, edit, and export using the native permission settings of your software. You can restrict access to specific clients, limit export capabilities, and revoke access instantly at any time, just as you would with an in-house employee.
When a seat ends, you revoke access through your own platform, the same way you would offboard an internal employee. Finsmart coordinates the offboarding checklist, including deactivating any shared credentials, removing the professional from communication channels, and ensuring a clean handoff of all work files. The NDA remains in effect permanently, even after the engagement concludes.
Finsmart is designed to be compatible with US accounting and data privacy norms. Since data remains in your own software and systems, you retain full control of your compliance posture. Finsmart professionals operate under NDA and confidentiality agreements that align with professional accounting standards. Clients operating under AICPA, IRS, or state-level CPA licensing rules retain full data custody and oversight as required by those standards.

White Label & Seat Model

White Label & Seat Model FAQs

Finsmart was built for CPA firms that want to scale invisibly. Here is how white label accounting works and what the Seat Model means in practice.

White label means your Finsmart professional works entirely under your firm's brand. They communicate using your email domain, follow your branding and reporting templates, use your project management and communication tools, and interact with your clients (if required) as representatives of your firm, not Finsmart. Your end clients never see the Finsmart name.
The Accounting Seat Model™ is Finsmart's core service model. Instead of buying a project, package, or pool of hours, you purchase a dedicated "seat" (a named accounting professional who works exclusively for your firm), full-time, for a flat monthly price. The seat professional is yours to direct, just like an internal team member. This contrasts sharply with traditional offshore models where you get rotating teams, shared resources, or opaque staffing arrangements.
Only if you choose to disclose it. By default, Finsmart professionals communicate, brand, and operate as part of your firm. They use your email address, follow your reporting formats, and follow your client communication protocols. Many Finsmart clients never disclose the arrangement to their end clients — it is entirely your decision as the practice owner.
Yes, if that is how your workflow is structured. Some CPA firms have their Finsmart professional communicate directly with end clients (via the firm's email domain) for data requests, document chasing, and routine questions. This frees the firm's partners for higher-value advisory work. Others prefer all client communication to go through their own staff. Either model is supported.
The three core seats represent increasing levels of seniority and scope. Bookkeeping Seat ($20/hr or $2,400/mo): day-to-day transactional work — bank reconciliations, data entry, categorisation, basic financial statements. Sr. Accounting Seat ($25/hr or $3,200/mo): full-cycle accounting — AP/AR management, month-end close, US GAAP-compliant financial reports, payroll review, tax prep support. Reviewer Seat ($30/hr or $3,600/mo): controller-level oversight — full file review, audit-ready workpapers, multi-entity management, board-ready reporting and FP&A.
Absolutely. Many Finsmart clients run multiple seats across different tiers simultaneously. For example, a mid-size CPA firm might have two Bookkeeping Seats handling high-volume transactional work, one Sr. Accounting Seat managing month-end close and reporting, and a Reviewer Seat providing final quality oversight before client delivery. You can also add a Tax Seat during busy season without committing to it year-round.
Yes. Finsmart has served clients in the United States, United Kingdom, Europe, and UAE since 2007. Professionals working with UK and European clients are familiar with IFRS, UK GAAP, VAT filing support, and jurisdictional accounting requirements for those regions. Pricing is the same globally. UK and EU clients may invoice in GBP. If you are based outside these regions and have a specific requirement, contact us directly.

Quality & Performance

Quality, Performance & Accountability FAQs

Outsourcing only works if the output meets your standards. Here is how Finsmart ensures quality from day one.

Quality is enforced through three mechanisms. First, professional vetting: Finsmart selects from a pre-screened pool of accounting professionals with proven expertise in the specific seat type you need. Second, the 3-tier team structure: your Senior Accounting Advisor reviews work quality and steps in for complex or escalated matters. Third, structured performance reviews: your Engagement Manager holds regular check-ins to assess output quality, flag issues early, and adjust workflows if needed.
Finsmart professionals are qualified accounting practitioners — typically CA, CPA, ACCA, or equivalent credentials — with experience working on US, UK, or other regional accounting standards depending on the seat. Sr. Accounting and Reviewer Seat professionals have a minimum of 3–8+ years of relevant experience. All professionals are pre-trained on the accounting software they'll be deployed on before their first day with your firm.
You tell your Account Manager directly. Finsmart takes performance concerns seriously. If issues are recurring or systemic, we will replace the professional and begin a fresh match at no extra cost. You do not pay a replacement fee, and the replacement onboarding follows the same 7-day process. Our goal is to make every seat feel like your best hire.
Since your professional works inside your own project management and communication tools, tracking is done however you already manage work. They respond to task assignments in Asana, ClickUp, Karbon, or whatever you use. They log hours or tasks as you require. They attend your stand-ups or status calls. Visibility is entirely within your control, with no Finsmart-specific dashboards or timesheets required.
With 300+ clients served since 2007, Finsmart has deep experience across a wide range of industries. Core expertise includes CPA and accounting firm support, restaurant and hospitality accounting, real estate accounting, non-profit fund accounting, ecommerce and retail, and professional services firms. When you onboard, we match you with a professional who has experience in your client profile — not just accounting generalists.
