Completed Reconciliations Were Changing After the Work Was Done
As the client base grew, accurate bank reconciliations in QuickBooks Online became harder to protect. Multiple parties could adjust transactions that had already been reconciled. Finsmart introduced restricted access, locked prior periods, and a clear change-request workflow.
The Books Were Reconciled. Then Someone Could Change Them.
The reconciliation team could complete a period, then a later transaction adjustment would alter the underlying records. That meant identifying what changed, understanding why it changed, and redoing completed work.
Uncontrolled Adjustments
Clients and other parties could make changes to transactions that affected previously completed reconciliations. Completed work was not protected after the period closed.
Historical Data at Risk
Without locked prior periods, finalized reconciliation data could be modified after completion. Each change required investigation before the team could move forward.
Rework and Delays
Discrepancies created additional correction work and made it harder to keep records current. The team was retracing steps instead of completing current accounting.
"We were finishing the reconciliation and then finding it had changed. We needed a process, not just more hours."
Three Controls That Stopped the Cycle of Rework
Finsmart introduced restricted adjustments, locked prior periods, and a clear communication path for change requests, all within QuickBooks Online.
Restrict Transaction Adjustments
Adjustments in QBO limited to Finsmart and the CPA. Client change requests routed through the CPA for review and approval before any changes were made.
Lock Completed Periods
QBO lock period enabled to prevent unauthorized changes to historical data and protect completed reconciliations from later adjustment.
Structured Communication Workflow
Clear routing established for requests, approvals, and accounting changes across all parties. Requests moved through a defined path instead of going directly to transactions.
"The changes to historical data stopped. Once the periods were locked, the rework stopped too."
Fewer Errors. Less Rework. Protected Books.
Restricted access and locked periods reduced unauthorized changes to completed reconciliations. The team spent less time retracing work and more time on current accounting.
A Controlled Process Ready for More Clients
With workflow controls in place, the provider can apply the same approach as its client base continues to grow.
"Accurate reconciliations are easier to maintain when you control what happens after the work is done."
